Printing Services FAQs

Overview

ITS supports multi-functional printers that copy, scan, and print.  Some also FAX. These devices can be found in many offices and publicly accessible locations.  ITS is responsible for coordinating the set-up, relocation, and removal of printers.  Please open a Service Request for any of these printer-related services.  ITS does not provide support for personal printing devices.

 

How To

Connect your Google Drive account to a multi-functional printer

1. Scan your badge on the printer.

2. Tap Device Functions on the touch panel.

3. Tap Connect to Google Drive.

4. Enter your Google account information (NetID@fandm.edu) and your F&M password.

5. Click Agree to allow access to your Google Drive files.

6. When the Google files load, click the Gear Icon on the right side of the panel.

7. Select the option to stay logged in so you do not have to re-enter your login credentials for the next 30 days.

 

Print a document stored on Google Drive

1. Scan your badge on the printer.

2. Tap Device Functions on the touch panel.

3. Tap Connect to GoogleDrive.

4. Search for the document to print.

5. Tap the blue arrow-shaped icon to the right of the file name.

6. Tap the printer icon.

7. Select any special options.

8. Your document will print.

 

Scan to Google Drive

1. Scan your badge on the printer.

2. Tap Device Functions on the touch panel.

3. Tap Connect to GoogleDrive.

4. Place your document in the document feed tray or on the glass.

5. Tap the cloud icon in the top right of the touch panel.

6. Use the keypad and give your file a name.

7. Change/select any options.

8. Tap Scan.

9. Tap Cancel when scanning is complete.

10. Your file is now in your Google Drive.

 

Scan to Email

1. Scan your badge on the printer.

2. Tap Scan or Scan/FAX.

3. Tap Me under email. Your email address will be displayed in the top right of the screen.

4. Tap Close to close the gray pop-up box.

5. Tap Scan and route the scan to your email.

 

FAQs

How can my student worker print for our department?

Please contact ITS for a fob and log-in they can use when the print, so that the print job is charged to your department. 

 

Can I use my Google Drive with the multi-functional printer?

Yes.  First, connect the multi-functional printer to your Google Drive and then you can directly print, scan, or save to your Google Drive.

 

How do I clear a paper mismatch error?

Paper mismatch errors can occur on any print job if the original job is set to a paper size not available in the printer. This is commonly seen with international documents in A4 or custom-sized scanned documents. Select the closest size from the available drawers, or insert custom paper into the bypass tray and tap the Start button.

 

Can I FAX from a multi-functional printer?

Some F&M multi-functional printers do have FAX capabilities. To see if the printer has FAX capabilities, scan your badge and look for a FAX button on the touchscreen panel. To FAX:

1. Load your papers into the tray.

2. Tap FAX.

3. On the number pad, enter 9 1 and then the number you want to FAX to.

4. Carefully read, select, and confirm document settings.

5. Press the blue start button below the touchscreen panel.

7. Then WAIT. Even though you don't hear anything, the FAX is being sent. After about one minute, you will hear a faint beep, and the device will start printing the transmission report.  It is always a good idea to call and make sure the FAX was received. If the transmission doesn't go through on the first try, then the machine will make two additional attempts. To cancel a FAX, press the STOP key located to the right of the START button.

 

Can I receive a FAX at F&M?

Yes. If you need to receive a FAX please go to the Information Desk to get the number. It is important that you are nearby the printer when you expect to receive a FAX.

 

How do I order more paper?

When a public printer runs out of paper, a notification is sent to IT and someone from the team will come to refill the tray. When a Department printer runs out of paper, submit a ticket to Facilities, and it will be delivered to your location.

 

How do I order toner?

When the printer detects the toner is at 20%, a notification is sent, and another toner cartridge will automatically be shipped to your department's point of contact.

 

How do I get a toner waste tank replacement?

Please open a Service Request to get a toner waste tank replacement.

 

How do I get staple replacements?

Staple costs are the responsibility of each department. Please open a Service Request so the IT team can coordinate delivery/pick-up of the staple cartridge with you.
