Overview
If you send emails to a large distribution group or have recurring instances of email that is automatically directed to you, you can manage your incoming email by adding rules that set filters to label, archive, delete, star, or automatically forward your email.
How To
Create Rules to Filter Your Emails
These directions explain how you can add a filter to incoming email. Instead of going to your Inbox, they will be routed to a label you create. This helps keep your Inbox clean, and it groups together related email.
1. In the Gmail web interface, click the Gear Icon (Quick Settings) in the upper right.
2. Click See all Settings.
3. Click Filters and Blocked Addresses (tab across top).
4. Click Create a new filter.
5. Now you need to identify what is unique about the email you want to filter.
- Think about: Will they all be coming from the same person or group? Will they all be coming into a specific email Inbox? Will the subject have certain identifiers that are always present?
- Pro Tip: If you are in charge of sending mass emails to a group, consider always including a unique identifier/word in the Subject line, and then use that as your filter.
- For example you might always include in the subject line something like "ITS Tip" to lead your Subject, and then you would filter out by "ITS Tip". One email subject might be "ITS Tip: Add a Rule to Gmail" and another email subject would be "ITS Tip: Quick Access to Eduroam." In these cases, any responses coming in would be filtered and directed into the Label you create.
6. Click Create Filter.
7. Click Skip the Inbox.
8. Next to Apply the label, click the down arrow and choose New Label.
9. Enter a name for the new label you want the email to go into. Then click Create.
10. Click the checkbox next to Apply the label.
11. Click Never send it to Spam.
12. Click Update filter.
Other Important Notes
Many filter criteria
Note that when you choose the filter criteria, there are options to forward it to another email, add a star to it (to denote it as "important"), or you can even delete it. There are several options you have to filter email so that you can keep your Inbox clean and automate tasks to help better manage your email.
