Set Up Google 2-Step Verification Service

Summary

Introduction to Google 2-step as a multi-factor authentication tool to protect your data when accessing Google apps; instructions on how to install Google 2-Step Verification.

Body

Overview

Access to F&M's Google applications requires multi-factor authentication, which you might hear referred to as 2-Step Verification. This 2-step verification process is used to (1) add more security and (2) make sure you're the only one who can access your account -- even if someone else knows your password. Google 2-Step Verification safeguards against any unauthorized access to your important data.

You will periodically be required to verify your access to Google applications. When you log into one of the Google apps, you will enter your username and password and then use your device (mobile phone) to verify it's you. If you don't have a mobile phone, please contact the Help Desk.

How To

Set Up 2-Step Verification

The first time you use a Google service provisioned through F&M, you will be prompted to select a method to confirm your identity. To configure your account;

1. From a computer, open a browser (Chrome recommended).

2. Log into your F&M Google account. Pro tip: Do this by opening your email at gmail.fandm.edu

3. Go to https://myaccount.google.com/signinoptions/two-step-verification/enroll-welcome?pli=1  You will see a page that briefly explains how the Google 2-Step process works.

4. Click Get Started (at the bottom of the screen).

5. Enter your F&M password.

6. Select a default option for your verification method. We recommend the following verification methods, in this order:

  • Google Authenticator
  • Google Prompt option
  • Text
  • Voice

Pro Tip:  Set up at LEAST two methods.  Once you complete the process, the next time you sign-in you will be prompted by one of these methods (something to click or a code to enter).

Change your 2-Step Verification Settings

1. Click on your picture/initial in the upper right-hand corner of the browser screen to change settings.

2. Click Manage your Google Account

3. Click Security.

4. Scroll down to how you sign in to Google; click 2-step verification.

5. Log in, as prompted.

6. Make sure you have at least two options selected; confirm which one you want to use as your primary method.

Other Important Notes

Using 2-Step Verification

  • Each time you sign into your F&M Google account on a new browser or device, including the computers in our classrooms or public spaces, you will enter your username and password then receive a prompt to enter a verification code.
  • When logging in, you may notice a checkbox to remember verification on your computer.
    • If you keep this box checked, you will only be prompted to enter a verification code once every 30 days, per browser, or after deleting your browser's cookies.
    • If you are using a computer that other people use, such as a computer in a classroom or other public space do NOT check this box.

Traveling away from campus

If you plan to travel, confirm that you have the verification method configured that you plan to use when you are away from campus.

Personal v. College Google accounts

If you have a personal Gmail account, there is no relationship between your personal Google account settings and your F&M Google account. This setting is only related to your F&M Google account.
